VENDOR POLICIES

The event is RAIN OR SHINE. Events will proceed rain or shine. 

Vendors are subject to the approval of the coordinator and shall not show/vend any goods or services other than those described herein at and during the event without the organizer’s written consent. Vendors reserve the right to refuse the exhibition before or during the event of unapproved goods and/or services.

The placement of the vendor’s space will be determined on a first come first serve basis. Each Vendor will be notified of their assigned booth prior to the show.

All payments received for use of vendor’s space are non-refundable and non-transferable.

All deliveries must be pre-approved by the coordinator. Please email pbccurlfriends@gmail.com for approval and instructions. Vendors agree to market their presence as vendors at the event via the current means of business promotion, including the Internet (e.g., Facebook, Twitter, Instagram, company website) and print. Vendors are responsible for acquiring event insurance and hereby agree to indemnify and hold harmless The Curlfriends Expo LLC, any team members, the venues, sponsors, and any affiliates against and from any loss or damages.

We will host the expo rain or shine.

Exhibitors should come properly prepared to withstand any weather conditions throughout the event.

In the event of adverse weather conditions, everyone will be notified via email and/or social media immediately.

Vendors will be given a time slot between 10:00 a.m. and 11:30 a.m. to check in and start setting up before the event.

Vendors will park in the designated area, check in and the registration table, and follow the directions of the event staff to the allocated section to unload items and begin setting up

Upon check-in, you will receive 2 passes that provide you entry into the event. If you need additional passes, please purchase them online no later than one week prior to the event. (Order at  https://curlfriendsexpo.com/order/badge/)

We asked that Vendors are done setting up 30 mins before the start of the event.

All Vendors are responsible for the décor, banners & decoration of your Vendor spot. Be creative with your Vendor spot! Vendors must provide their own staff to assist in setting up/dismantling vending areas.

Please bring any extension cords, décor, tablecloths, or other items you might need. 

Vendors shall ensure all tables/booths/showcases are staffed at all times throughout the duration of The Curlfriends Expo.

Unless you have paid for a rental tent package, you are responsible to provide your own tent and weights.

All tents are required to withstand winds and rain and be properly weighted (40 pound weights for each leg to anchor your tent down). Staff will make a final inspection prior to opening of event.

You will not be able to setup if not properly weighted. No Staking In ground.

All furniture must be approved by the Curlfriends Expo coordinator. No sharing! Only one business per booth, SHARING Vendors BOOTHS ARE NOT PERMITTED.

Quiet/whisper generators are permitted. Any generator that can be heard outside of the confines of your assigned space is not permitted.

Vendors will cause no noise which can be heard beyond the perimeters of their own space. This noise includes but is not limited to music (recorded or live demonstrations).

All food vendors must provide a copy of his/her food catering license or a temporary event food/catering license insurance by June 1, 2024.

Food truck vendors will need to bring a poly tarp to place underneath their truck.
 
Outside food vendors must have a Grill Mat underneath their cooker/grill if they intend to cook outside.

Vendors are responsible for the disposal of grease. Disposal of grease on the event property is strictly prohibited. 

Food vendors must provide a list of all the food items to be sold and adhere to items listed.

Fees will be applied to the future event date if canceled due to adverse weather or other forces out of our control.

Vendors are responsible for keeping booth space clean, safe & secure.

Vendors Cartons or boxes, and materials must be within the assigned booth space and cannot be extended. 

Please break down all packing material, cardboard and corrugated boxes at your booth location (must be kept out of view or put all trash in the dumpster.).

Break down of booths must be completed and removed by 7:00 PM. Any materials left behind will be confiscated.

Vendors grant full permission, perpetual and worldwide, to the organizers to use all names photographs, video, audio, or quotation in accounts or promotions in any medium.

After the event, Vendors shall leave the location clean of trash and restore the location back to the pre-occupancy condition.

Cancellation

Organizers reserve the right to cancel this event at any time prior to the date of the event with refund of all amounts paid by participants to Curlfriends Expo in connection with this Agreement. Otherwise all payments are non-refundable. 

The Curlfriends Expo management reserves the right to change the venue or date if we find a better option to accommodate our growing audience. 


The organizers deem that a rescheduled/postponed event is not a canceled event and no refunds will be given as you will be given a vending space with a new date and potentially a new location.

The organizers also reserve the right to cancel the vendor’s ability to vend at the event based on the vendor’s behavior, display, products, or for any reason deemed appropriate by the event without refund to the vendor.

Postponed events or rescheduled events policy

The event is RAIN OR SHINE. Events will proceed rain or shine.

In the event of severe weather (for instance, a hurricane and tornado) or an Act of God, Curlfriends Expo will postpone events (reschedule to a new date).

Curlfriends Expo reserves the right to postpone events or rescheduled events at any time prior to the date of the event.

In the event, that one of the events is postponed or rescheduled all payments paid will be applied to the new event date. Payments received will remain non-refundable including deposits/balance and are not transferable if the event is postponed or rescheduled. 

Fees will be applied to the future event date if postponed due to adverse weather or other forces out of our control.

Failure to Exhibit

A​t the event that the Vendors fails to exhibit in the space allocated to him/her on opening day, the  Expo may make such use of said space, as it sees fit, without any liability whatsoever to the Vendor who shall remain liable for the payment of the total booth price due under contract & without refund, whether space is resold or not.”

Use of Audio Equipment/Video Monitors: 

The use of loudspeaker, amplifiers, and/or loud music which interferes with another Vendor shall Not Be Permitted. Management reserves the right to require sound systems to be turned down or shut off and monitors removed. No loudspeakers, music videos, or music of any kind will be allowed in one booth space. Small, low-powered sound systems and video monitors are permitted.

Sales Tax

Transactions, including collection of Florida Sales Tax, are the sole responsibility of the vendor.

Counterfeit Merchandise

The sale of counterfeit merchandise is strictly prohibited

In case of inclement weather or other Acts of God, the vendor agrees to accept full responsibility for profits or loss or any missing, stolen items or damage to person or personal property.

I acknowledge that I am responsible for the security of my own property and expressly assume all risk of loss and/or damage to property arising either directly or indirectly from my participation.
